Auto Shop Administrative Assistant – Part time or Full time

Job Summary Maintains service operations by inspecting and maintaining vehicles.

Wage Compensation Wage will be determined off of previous work experience and will be discussed throughout the hiring process.

Essential Functions: 

  1. Keeps required preventative maintenance for fleet on a regular schedule by working with department managers and staff. Scheduling things such as: engine tune-ups, oil changes, tire rotation and changes, wheel balancing, replacing filters, flushing and replacing fluids, and replacing brakes.
  2. Order parts and pay for services through our purchasing system. Keeping a record of expenses and balancing expenses into spreadsheets. Follow invoice tracking software to ensure all are proper charges and make adjustments if necessary through our finance department.
  3. Work closely with our Fleet Maintenance program in order to keep all of our vehicles insured and licensed. Record any changes into the Fleet program as well as track vehicles fuel consumption, mileage, and service tickets.
  4. Bill for work that has been scheduled and then performed. Issue invoice statements, monitor payments and follow through with collections. Input revenue into spreadsheets to balance the book from expenses.
  5. Schedule work to be done, often picking up and dropping off customers will be required. Make arrangements for accurate predictions of job completion times.
  6. Serve as safety liaison by performing all monthly checks and ensuring that the shop stays in compliance with OSHA standards. This will require you to regularly work with our Safety Team on site.
  7. Responsible for inventory upkeep and restocking of items such as: belts, and filters.
  8. As vendor invoices come in, there is a need for maintaining and updating the pricing list. Be able to shop around and make the best decisions for the business of our auto shop.
  9. Office supplies will need to be maintained and ordered when needed.

Minimum Qualifications

  1. Education – High School Diploma or Equivalent
  2. Additional education, certifications, or experience is generally preferred.
